How to check the incoming and outgoing mail server configurations in Thunderbird

The following instructions explain how to check the configurations for incoming and outgoing mail servers in Thunderbird.

How to confirm the incoming mail server configuration (POP/IMAP)

1. Right-click on the account name in the left menu, and click “Account Settings.”

2. Click “Server Settings” and confirm the server name and user name.

If your account is connected to the new KUMail server, the settings will be as follows:

Server Name: “imap.gmal.com” or “pop.gmail.com”

User Name: Your KUMail address (@kyoto-u.ac.jp)

In this case, you do not need to change any of the settings.

If your account is still connected to the old KUMail server, the settings will be as follows:

Server Name: “mail.iimc.kyoto-u.ac.jp”

User Name: Your SPS-ID

In this case, you need to reconfigure the settings to connect your account to the new KUMail server, as detailed in the Operation Manual below:

Note: The old KUMail system has been unable to receive e-mails since May 19, 2019. Access to the old system will be completely terminated at the end of March 2020 (tentative schedule).

How to confirm the outgoing mail server configuration (SMTP)

1. Right-click on the account name in the left menu, and click “Account Settings.” (The same procedure as step 1 of “How to check the incoming mail server configuration” above.)

2. Confirm the configuration for the outgoing server (SMTP).

If your account is connected to the new KUMail server, the settings will be as follows:

Outgoing (SMTP) Server: “(your KUMail address) – smtp.gmail.com”

In this case, you do not need to change any of the settings.

If your account is still connected to the old KUMail server, the settings will be as follows:

Outgoing (SMTP) Server: “(your SPS-ID) – mail.iimc.kyoto-u.c.jp”

In this case, you need to reconfigure the settings to connect your account to the new KUMail server, as detailed in the Operation Manual below:

Note: It has not been possible to send e-mails via the old KUMail system since May 19, 2019.

How to confirm the outgoing mail server (SMTP) if you are using multiple sender addresses

If you are using multiple sender addresses in Thunderbird, you must configure the outgoing mail server (SMTP) to connect to the new KUMail server for each individual sender address. Otherwise, an error will occur when sending e-mails. Please check the outgoing server information settings for each sender address as described below.


1. Click on the account name on the left menu, and click “Account Settings.” (The same procedure as step 1 of “How to check the incoming mail server configuration” above.)

2. Click the “Manage Identities” button.

3. The list of sender addresses you are using will be displayed. Select one of the addresses and click the “Edit” button.

4. Confirm the outgoing (SMTP) server settings for that sender address.

If the sender address is connected to the new KUMail server, the settings will be as follows:

Outgoing (SMTP) Server: “(Your KUMail address) – smtp.gmail.com”

In this case, you do not need to change any of the settings.

If the sender address is still connected to the old KUMail server, the settings will be as follows:

Outgoing (SMTP) Server: “(your SPS-ID) – mail.iimc.kyoto-u.c.jp”

If your account is not connected to the new KUMail server, you need to reconfigure the settings to connect it to the new KUMail server, as detailed in the Operation Manual below:

If you have already configured your e-mail account settings to connect to the new KUMail server, but the other sender accounts you are using have not yet been configured to connect to the new KUMail server, then you need to configure the settings of each sender account to connect it to either the new KUMail server (smtp.gmail.com) or the authenticated mail server (smtp-auth.kuins.kyoto-u.ac.jp). Once you have reconfigured each account as required, click the “OK” button.

Note: It has not been possible to send e-mails via the old KUMail system since May 19, 2019.


5. Please repeat steps 3 and 4 for each sender account to confirm the configurations are set correctly for all sender accounts that you are using.
